The Business Problem

This tier one software company was faced with a problem: Retire 3 PeopleSoft Financials ERP instances, only 6 months after current data had been migrated to a new SAP platform.

The data was still fresh enough that some was needed to remain compliant for financial audit reporting and even for completing the closure of their books. If a solution was not found that could maintain the audit properties yet provide access to data in a capacity close to that of a production system while keeping the relational integrity of the data, then they faced significant license penalties from the ERP vendor.

The Technical Challenge

With over 45,000 tables, the PeopleSoft Financials ERP system was complex and contained significant volumes of data. In addition, auditors required that file attachments contained in external file servers be made available in context as part of the data archive process. Therefore, over 100 Crystal, Business Objects and SQL based PeopleSoft reports needed to remain in operation, without the ERP package or a database in place.

To cap it off, some of the required information, currently accessed via PeopleSoft transaction screens, was not covered off in any reports. As a result, screen views needed to be duplicated in a complex WEB BI report format with many conditions.

The Solution

IBM Optim was identified as the only solution capable of providing ERP-like access to data, without the ERP software. Data collections containing information to support required reports were designed, and indexed to give optimal performance. Existing SQL from PeopleSoft reports was ported over to run directly against these archive file collections. In addition, Business Objects and crystal reports already in operation were also ported over to the file collections, in some cases exceeding production performance.
