In today’s competitive economic environment, companies are looking for ways to cut costs and, in turn, improve their bottom line. Applications built to leverage the internet can play an important role in helping to reduce costs. In particular, supplier self-service pages enable your firm to eliminate many tedious, time consuming administrative tasks by allowing your suppliers to access, review, enter, and update data relevant to their organization. Access by suppliers to their data can be tightly controlled through security measures enabling you to expose only those data elements you deem acceptable.
PeopleSoft delivers several applications that allow your suppliers to review and manage much of their data. This includes the online supplier onboarding process delivered in PeopleSoft 9.2. Prospective suppliers can be invited through email to register online and enter identifying information (i.e. TIN, SIC codes, etc.), address, contacts, payment information, answers to profile questions (questions you configure to collect additional information) and attachments.
The specific fields exposed to the supplier are controlled through the use of templates. The configuration and maintenance of those templates is the responsibility of procurement personnel, eliminating the businesses’ dependence on the IT department. Through the use of checkboxes, the template administrator defines which fields are displayed to the supplier and of those fields, which are required and which are optional. Additionally, the template allows you to provide registration instructions to the supplier. This includes terms and conditions they must agree to in order to be considered for registration. Optionally, the registration request submitted online by the supplier can go through an electronic approval process, using Approval Framework, prior to updating the database.
The real benefit of enabling the 9.2 supplier onboarding process is the savings that can be realized by reducing the headcount necessary to add and maintain supplier information. Use of the supplier onboarding functionality frees up procurement resources to focus on more important value-added tasks.
